Title: Project Coordinator - Construction & ERP Coordination
Location: Kinshasa, DRC
Reporting to: Airport Project Director
Role Overview
The Project Coordinator - Construction & ERP Coordination will support the Construction Team in coordinating and administering day-to-day site execution for the large-scale airport infrastructure project in Kinshasa. The incumbent will be responsible for coordinating work front readiness, drawing and document follow-up, permits, inspection inputs, subcontractor actions, progress information, meeting records, construction issue tracking, and ERP-related construction data coordination.
The role will also act as the Construction Team focal point for ERP coordination, ensuring that site execution information is correctly aligned with the approved WBS, cost codes, procurement references, construction work fronts, progress records, and project controls reporting structure. This includes maintaining disciplined links between construction activities, cost information, procurement requirements, subcontractor inputs, material status, and ERP data updates.
This role requires strong follow-up discipline, practical construction awareness, accurate record keeping, basic ERP awareness, and the ability to coordinate across Construction, QA/QC, HSE, Technical, Procurement, Planning, Project Controls, Cost Control, Document Control, Commercial, ERP/System Administration, subcontractors, and suppliers. The role is a coordination and support function and does not replace the authority or accountability of the Construction Director, Construction Manager, Site Engineers, QA/QC, HSE, Procurement, Project Controls, Commercial, or system-owner functions.
Key Responsibilities
- Construction Coordination & Execution Support
- Coordinate daily construction requirements across assigned work fronts, including access, labour, plant, materials, inspections, permits, and subcontractor interfaces.
- Follow up site actions, constraints, and readiness items with Site Engineers, Package Leads, subcontractors, and support departments.
- Assist in arranging construction coordination meetings, preparing agendas, recording minutes, and tracking agreed actions to closure.
- Document, Drawing & Technical Coordination
- Track status of latest approved drawings, shop drawings, method statements, material approvals, ITPs, work packs, RFIs, permits, and site instructions.
- Coordinate with Document Control to confirm correct revisions and distribution to the Construction Team and subcontractors.
- Assist site teams in identifying upcoming documentation requirements before works commence.
- Programme, Progress & Reporting Support
- Collect daily progress inputs from Site Engineers and subcontractors, including quantities, manpower, plant, equipment, and work front status.
- Ensure that daily progress information and construction quantities are coded consistently against the correct WBS, work-front, discipline, package, and cost-code references for ERP and project controls purposes.
- Support the Planning and Project Controls Teams with verified construction inputs, while maintaining Construction ownership for site execution information.
- ERP Coordination, WBS & Cost Alignment
- Act as the Construction Team ERP coordination focal point, ensuring that construction inputs are captured, coded, updated, and followed up in accordance with the project ERP requirements.
- Maintain alignment between the approved WBS, cost codes, CBS/package codes, construction work fronts, procurement packages, subcontractor scopes, material records, and progress reporting requirements.
- Coordinate with Project Controls, Cost Control, Planning, Procurement, Commercial, Document Control, Finance, and ERP/System Administration to ensure consistent coding and data integrity across construction-related ERP records.
- Procurement & Subcontractor Coordination
- Follow up material availability, delivery requirements, subcontractor mobilisation, access arrangements, and supplier documentation in coordination with Procurement and the Construction Team.
- Coordinate ERP follow-up for construction-related requisitions, purchase orders, material requests, delivery records, supplier/subcontractor references, and outstanding procurement actions linked to site execution.
- Support construction readiness by tracking materials, plant, equipment, tools, temporary works, and site resources required for upcoming activities.
- QA/QC and HSE Coordination Support
- Coordinate with QA/QC to ensure inspection requests, hold points, test requirements, NCR actions, and quality records are tracked and followed up.
- Coordinate with HSE to ensure permits to work, task-specific risk assessments, toolbox talks, access controls, and safety requirements are understood before work proceeds.
- Track QA/QC and HSE actions assigned to Construction and follow up until closure.
- Risk, Interface & Issue Management
- Maintain construction issue, constraint, decision, and interface trackers.
- Assist in coordinating interfaces between civil, structural, architectural, MEP, utilities, airside, landside, logistics, and temporary works activities.
- Monitor and follow up risks related to access, work-front readiness, delayed drawings, late materials, resource shortages, inspections, permits, and subcontractor performance.
- Additional Responsibilities
- Perform any other related duties assigned by the Construction Director or Construction Management in support of project delivery.
- Support site administration, filing, coordination records, meeting packs, progress evidence, and construction audit requirements where required.
- Support ERP data checks, construction-system records, and audit trails required for progress verification, cost visibility, procurement follow-up, and management reporting.
Qualifications & Experience
Diploma or bachelor’s degree in Construction Management, Civil Engineering, Project Management, or a related field.
Minimum of 5-8 years of experience in project coordination, construction coordination, site administration, or engineering support.
Experience on large-scale infrastructure, airport, building, civil, or industrial construction projects is preferred.
Practical understanding of construction drawings, method statements, ITPs, permits, site records, and construction sequencing.
Experience coordinating subcontractors, suppliers, Site Engineers, QA/QC, HSE, Procurement, Planning, and Document Control.
Familiarity with document control systems, daily reporting, progress records, action trackers, and construction coordination procedures.
Experience supporting ERP coordination, project controls data, WBS/CBS coding, cost coding, procurement workflows, material tracking, or construction data administration is strongly preferred.
Familiarity with ERP systems used for cost, procurement, materials, progress, document references, or project reporting is an advantage.
Experience working in Africa or emerging-market project environments is an advantage.
